New Agent Sign Up Process - Enterprise Sub-Agents

Copy and paste the information below into a new document in the SharePoint Pending Sign-Ups      Folder:

  • Title the document with the date that we received their contract/payment and their name. Example: 8.22.22 John Doe
  • After completing all of the following steps, rename the document, adding the completed account setup date. Move the document into the "SharePoint Completed 2022 Sign Ups" folder.         Example: 8.22.22 John Doe 8.23.22
  • Do not Order a background check until we have from their lead 
  • Agency Owner Verification Authorization (DocuSign) 
  • Individual Guaranty of Agency Performance (DocuSign) 
  • Bank form (DocuSign) 
  • EIN Letter (Agent) 
  • Proof of Business Registration with from their state (Agent) 
  • Sub-Agent Addendum (DocuSign) 
  • Check their name against the Grad List 
  • Run Background check via My Prehire  
  • Review Background check according to this SOP 
  • Save background check in Agent Documents folder 

 

**Mark off the pipeline in Fresh Sales as each section is completed** 

 

 

HubSpot

        Search the agent’s name, once found, please verify or fill in the follow:

  • The Agent’s company name
  • Email 
  • Phone number in mobile field 
  • Agency Name 
  • Address but compare it to the Agency Owner Verification Authorization form 
  • Account status to active 
  • Contract type 
  • Company type 
  • Plan: Starter, Executive or Enterprise 
  • Lead Agent’s Name – (Enterprise only)   
  • GDS Program – If yes, Worldspan or SABRE 
  • Start date 
  • Agreement Version Date 
  • Trams/GDS Interface ID  
  • Birthday – find on Agency Owner Verification Authorization form 

Create Agent profile in Trams 

  • Select “Profile” --> “Query” 
  • Select the “New” dropdown button and choose Agent (This will bring up the Agent Profile creation window. 
  • Fill in the following properties based on the Agent’s information in Fresh Sales: 
  • GENERAL TAB 
  • Profile Name (First and Last Name with their lead’s name in parentheses. Example: John Doe (Jane Doe) 
  • Last Name 
  • First Name 
  • Interface ID 
  • Branch 16 
  • Zip code (Enter 55555) 
  • COMMUNICATIONS TAB 
  • Phone Number 
  • Enter phone number into the “Value” box and click “add” 
  • Make sure the phone number is listed as primary 
  • Email 
  • Choose Email from the “Type” dropdown menu in the communications tab 
  • Enter the agent’s email address in the “Value” box and click “add” 
  • Make sure the email address is listed as primary 
  • GROUP TAB 
  • Search for Master group and lead agents interface ID.  If there is not one do not force type it.  Create the Master Group if needed by clicking on Group/Batch and Naming the group MASTER:TQAWL but use the leads interface ID.   Group type Agent and nothing in the Description.  Click ADD then OK.  Then search for the  new group you just created and choose it from the drop menu.  Click add, OK. 
  • MARKETING TAB 
  • Add lead agents interface ID in the alternate ID box 
  • Add the Trams agent profile # to FreshSales 
  • Add the Trams Agent Profile # from the top of the Agent Profile creation window to the “TRAMS Agent Profile #” field in the edit window of the agent’s Fresh Sales account. 

Create Corp profile in Trams 

  • Select “Profile” --> “Query” 
  • Select the “New” dropdown button and choose Corporate (This will bring up the Corporate Profile creation window. 
  • GENERAL TAB 
  • Profile Name (First and Last Name) 
  • Interface ID is the Agent’s phone number without any special character (##########) 
  • Branch 16 
  • COMMUNICATIONS TAB 
  • Phone Number 
  • Enter phone number into the “Value” box and click “add” 
  • Make sure the phone number is listed as primary 
  • Email 
  • Choose Email from the “Type” dropdown menu in the communications tab 
  • Enter the agent’s email address in the “Value” box and click “add” 
  • Make sure the email address is listed as primary 
  • GROUPS TAB 
  • Search “Travel Quest” in the Group/Batch field and click “Add” 
  • Click “OK” 
  • Agent must be in this group to get Monday Invoicing report from grasp (may be discontinuing this report) 
  • MARKETING TAB 
  • Add lead agents interface ID in the alternate ID box 

Prepare Logins  

  • The only login that we create without being requested is the commission manager login. 
  • Follow the steps outlined in the “Commission Manager – How to add an agent” SOP to create their account. 
  • Send the Almost There, Here's Your Travel Quest Network Commission Manager Credentials – Email No. 1” canned response with the username and password filled in. 
  • The only logins that we create without being requested are for commission manager login and Agent Universe.
  • Follow the steps outlined in the “Commission Manager – How to add an agent” SOP to create their account. 
  • Set their password to their first name initial last name initial Travel 23! 
  • Example – Agent Name John Doe – Password: JDTravel23! 

 

  • Follow the steps outlined in the Agent Profiler/Agent Universe SOP to create their account
  • Set their password to Travel23!

Create and approve customer account in WorldVia Pro 

  • DO NOT CREATE A GRASP REPORT FOR THEM.
