Member Booking Updates

Emails from supplier partners will come directly to HubSpot. Please create a different view in HubSpot to monitor all "Member Booking Updates."

  1. Open up the email and find the confirmation number. (This may be in the description of the email or in the subject line of the email)
  2. Search for the same confirmation number in the Auto Supplier Email Excel
  3. If the confirmation number is found, this means that the member has invoiced this booking. Take the email from the sheet or the email that is in HubSpot and forward this email to the member:
    1. Use the snippet "Invoicing Email." 
    2. If this is an Agency Balance Due Letter, use snippet "Agency Balance Due Letter" and copy and paste information from the letter.
    3. The category should be "Supplier."
    4. The sub-Category should be "Agent Email."
    5. Set the status as "Closed."
  4. If the member did not invoice and the confirmation can not be found in the email, you can see if you can figure out who the booking belongs to by looking for the member's name. If you can not determine who made the booking:
    1. The category should be "Supplier."
    2. The sub-Category should be "Agent Email."
    3. Set the status as "Closed."
