If an invoice is created after we have received the payment from the supplier a late fee must be added to the member’s/agent’s statement.
- In TRAMS at the top of the page click adjustments
- Then click Query once you click that you will go to remarks and type in “late fee” then hit query
- Late fees for all the agents who have had one will populate. Click on date to make sure that you have selected the latest one
- Click on the most recent late fee and open it to make sure that you have the correct information inside. Remember each invoice gets its own late fee. Once you view the late fee edit box, make sure this is correct close the ticket and go hit copy.
- Once you have copied the adjustment edit box, you will need to change the information to make sure that you do not give the same member/agent another late fee that is not theirs.
- Input the new agent’s information. Make sure the amount is correct (there are some instances where the fee will be larger). Type in the agent’s name, and it will auto-populate the rest of the information. Go back to the ticket and copy the information that was put in the inquiry. Because this shows on the member/agent’s statement you want the agent to see all the information for which ticket they are being charged a late fee for. Then click OK
- After you have clicked “OK” you will see the late fee generated under the date.
- You will then go back to the ticket and send the canned response. Invoice Submitted Late Fee. It will auto-generate the response filled. You will need to go in and fill in the commission amount and the invoice number.
