New GDS User Process
When an agent is asking for GDS access, they must have prior ticketing experience. We do not currently train GDS skills. If Member Success (for current member) or Member Recruitment (for new member) speaks with an advisor that confirms they have prior experience, they can move them forward to the next step, which is an interview and skills assessment with the Air Services Supervisor. This might also include a director or manager from the Technology department, if the member does corporate travel or will need a lot of mid-office technology.
Once the Air Services Manager has approved the agent, they will notify Member Success to continue with sending the member a GDS Subscription Agreement.
When the agent signs the agreement, it will come back via Freshdesk with a ticket titled:
Document *GDS Subscription Agreement’ has been executed. Member Success can sign for WorldVia to complete the agreement and then initiate a credit check.
When the credit check comes back, send it to Farris to approve. When approved, send a message to the Air Services Supervisor to create log in credentials for GDS.
Update the Agents Freshdesk and HubSpot Customer Properties as follows:
- GDS – Yes
- GDS Program – Worldspan or Sabre
- TRAMS/GDS Interface ID – update to new ID assigned for GDS if changed
If new Trams Interface ID was assigned - Update TRAMS/GDS Interface ID in Commission Manager by logging on to commission manager under GRASPReport-Admin.
- Click on User Admin
- Find agent’s account and click on Edit to the right
- Add the new ID under Trams Interface ID and click on update at the bottom.
The Air Services Supervisor will complete the steps below and also all the GDS steps in solution article:
Wspan – Create New User or Sabre – Create New User (this one is yet to be created.)
Determine an available Interface ID for a GDS user. This may require changing the ID if one is already assigned to the member that does not work with Sabre or Worldspan. Notify Member Success the Interface ID to assign to the member so they can complete or update the other areas.
Under the group tab create a new group named TQCORPORATEAGENTSNAME and save it to the groups tab in both the agent and corporate profile.
In agent profile, add to the group TQGDSALLGDSAGENTS
Notify Abhinay to add the agent to the monthly GDS adjustments and the amount of the fee per the plan they chose.
