  • How do I submit suggestions or improvements for WorldVia Products?

  • What is the CRM?
    1. The WorldVia PRO CRM, or Customer Resource Manager, is a group of tools housed under the Run tab in the left side navigation. It includes a Contact manager, Company manager, Trip manager, Tasks, and notes.
  • Will there be a cost for the CRM?
    1. No, the CRM is a business management tool included with your membership.
  • Will the CRM ever cost more?
    1. Currently, the CRM is included in your membership fee. We have no plans of changing that at this time.
  • Who owns the client data in the CRM?
    1. As the owner of your travel business, you own your client data. 
  • How do you use the data from the CRM?
    1. We use your data for analysis purposes, statistics, service improvement, in support of any potential corporate transactions, security, and more. Read our full Privacy Policy for more details.
  • What is the difference between the Tasks page under a contact record and the main Tasks page in the CRM?
    1. You can view some pages while you are inside a contact record, including Company, Notes, Tasks, Trips, and Emails. These are connected to the main CRM Navigation tabs with the same names, but while you are inside a specific Contact record, you will only see companies, notes, tasks, and emails associated with that contact. If you add a new company, note, task or email while inside a Contact record, you will also be able to see it, and all other items, in the main navigation page.  
  • How do I add a Task in the CRM?
    • Click on the Tasks page under Run in the left side navigation.
    • Click Add task on the right side of the screen OR hover over Tasks in the top navigation and click New Task.
    • Add the task title. You can write your own title or choose from the dropdown list that appears after you start typing.
    • You can fill out additional fields like due date, tag contacts, change task status and more.
    • When you’re ready, click save.
  • Can tasks be synced with Google Tasks?
    • The Beta release of the CRM does not include the ability to sync with other Google Workspace functions. This is not currently on the development roadmap.

  • General
    1. Lives in WorldVia PRO under Run tab. 
    • Can view board of all tasks. 
    • Can hover over Tasks tab in the Top Navigation to get an option to quickly add a task.  
  • Sort, Filter + Search 
    • Can sort (Descending, Ascending), filter (Flagged, Contact, Trip, Company), and search. 
  • View 
    • The number to tasks that are due or past due appears in a bubble in the top navigation. It is visible on any page inside the CRM. 
    • Task Board 
      • The board is divided into 3 columns based on task status (Not Started, In Progress, Completed. Each column shows the number of tasks with the corresponding status.
      • The board is not drag + drop in v1. 
    • Task Cards 
      • Task cards will turn yellow when the due date is nearing (within 2 days). 
      • Task cards will turn red and say Overdue when they're passed the due date. 
      • Can expand Task Cards to show more details by clicking on the title.
      • Users can flag a task as important by hovering over the task card and clicking on the ! icon in the top right corner of the trip card.
    • Task Archive 
      • Completed tasks will be archived. Users can view achieved tasks by clicking on the file box icon next to Completed, which will open a pop-up with all archived tasks.  
      • In Archive view, users can permanently delete tasks or add them back to the task board.  
  • Task Actions 
    • Bulk Actions 
      • Users can bulk edit and delete tasks by hovering over top left corner of a task card.  
        • A pop-up will open if users click to edit while multiple notes are selected. 
        • Can also select all tasks in a column (Not Started, In Progress, Completed). 
        • Can Add contacts (existing or create new), Add companies (existing or create new), change Due date, change Task Status, and flag tasks in bulk edit mode.  
    • Edit + Delete 
      • Users can edit a task by clicking on the edit pencil and delete a task by clicking on the trashcan on the top right corner. 
    • Add A Task 
      • A pop-up opens to add a new task.  
      • By default, tasks are set to be due the day they are created.  
      • Title*, Add to standard tasks (optional checkbox that adds the title to a list of common tasks), Status (In Progress, Completed, Not Started), Contacts (add existing or create new), Companies (add existing or create new), URL Link, Due date (calendar date of linked to an event), Flag this task, Recurring Task (set recurrence options), upload files. 
      • Due Date linked to Event
        • Number, Day/weeks, After/before, Event (Trip departure date, Trip return date, Contact birthday)
      • Add task to standard tasks
        • Users can add their own tasks to the list of common tasks by clicking the Add to standard tasks checkbox.
        • Users can type their own or select from a list of common tasks
